Facility Management Specialist 

to strengthen Facility Management (FM) team responsible for our two Headquarter office buildings in Allschwil/BL 

 

 

Job function/Role: 

The Facility Management Specialist is a pivotal role assisting the Facilities Team Leader in providing a high standard of facilities services & process execution in the two buildings at the headquarters of Abbott Established Pharmaceutical Division (EPD) in Allschwil/BL.  

You will work in an international and dynamic environment within Engineering and Capital Management functional area and work closely with other areas such as HR, IT, Operations and senior stakeholders within the organization. 

FM is responsible for all services related to Facilities and Workplace Management for the site placing superior customer care of all aspects of the day to day operation on site. 

Establishing and maintaining operational standards ensuring full statutory compliance and deliver Abbott global standards and values on site is a key factor. 

In your role you ensure together with a small team a high standard of a wide range of facility services and operations that includes Workplace Management; Environment Health & Safety compliance, Site Security Coordination; Conference Room Management including infrastructure, Canteen and Catering Services, Car Fleet Management and more. 

 

Main Activities: 

  • Single point of contact for managing facilities technologies equipment such as audio/video conferencing units or internal site communication devices. Close collaboration with IT & Executive Assistants. 

  • Elaboration, improvement and optimization of FM processes in cooperation with the team leader FM 

  • Implement best practice processes to increase efficiency as well as state of the art technologies. 

  • Active participation in the annual replacement strategy of technology assets and budget planning as well as continuous monitoring of expenditures 

  • Assistance in the creation of concepts, documentation, processes and workflows based on regulatory guidelines and Abbott internal policies - focus on EHS (Environment Health and Safety) and Security 

  • Ensure compliance with health and safety standards and industry codes – support Safety Coordinator (SiBe) 

  • Support Facility Manager and rest of the team as required in:  

  • Administrative activities and organizational task (SAP data analysis, PowerPoint presentations, compiling lists, reports, inventories, life-cycle management etc.) 

  • Supplier Management 

  • Conduct and document regular facilities inspection, specially focus on tech. devices status and connections 

  • Orders and materials management; continuous consumption control 

  • Coordinate and oversee intra-office relocations (move management) 

  • Facility central services such as workplace management and so on. 

 

Profile:

  • Young professional with passion for technology and excellent skills in MS Office suite as well as user (or willing to learn) other software packages such as Power Automate, Power BI. 

  • Ability to network and analytical thinking, good understanding of FM processes (Prolemo; IFMA/GEFMA) 

  • Strong service and customer orientation as well as organizational skills and diplomatic assertiveness 

  • Excellent interpersonal skills to be able to manage different stakeholder levels from Senior Leadership to contractors 

  • Team player with hands-on mentality, high level of commitment, reliability and flexibility, trusted personality 

  • Good written and verbal communication skills in English & German  

  • Good negotiation skills, high sense for cost control and vendor management 

  • Good knowledge of occupational safety and health protection (ideally SiBe; Kopas function) 

  • Knowledge KABA Exos electronic access control system would be beneficial 

  • Knowledge of SAP ERP application would be beneficial 

 

Education: 

  • Bachelor’s degree in Facility Management or similar 

  • Minimum 3 years work experience 

  • EKAS, SiBe, Kopas education beneficial 

  • Open to consider young Engineering profiles with appetite for Facility Management career or development step to Facilities & Utilities role in a manufacturing site in our network.
