      Job Description

      Executive Coordination & Administrative Support

      • Support the management of day-to-day priorities, calendars, and scheduling for senior leadership
      • Coordinate meetings, prepare agendas, and ensure smooth logistical execution
      • Handle complex travel arrangements, including itineraries and related logistics
      • Assist with email drafting, correspondence tracking, and stakeholder communication

      Project & Operational Support

      • Own and execute smaller projects independently, ensuring timely and structured delivery
      • Maintain and organise documentation, presentations, and meeting follow-ups
      • Prepare briefings and materials for leadership meetings, internal communications, and events
      • Actively track action points and ensure alignment across stakeholders

      Event & Stakeholder Coordination

      • Support the planning and execution of workshops, offsites, and leadership sessions
      • Ensure smooth coordination across internal teams and external partners
      • Act as a professional and welcoming point of contact for high-profile guests and partners

      Office Support & Team Enablement

      • Ensure efficient information flow and organisation within the leadership office
      • Triage incoming requests, prioritize tasks, and flag urgent matters proactively
      • Maintain strict confidentiality and discretion when handling sensitive topics
      • Contribute to a positive, professional, and high-performing team environment

      The Successful Applicant

      • Max 4 years of experience in coordination, executive support, or project administration

      • Experience in the service industry is an advantage

      • Experience in a fast-paced, international, or entrepreneurial environment is highly valued

      • Exceptional organizational and multitasking skills with strong attention to detail

      • Fluency in English and German, with strong written and verbal communication skills

      • A proactive, solutions-oriented mindset with the ability to anticipate needs

      • The ability to manage multiple priorities independently while maintaining composure

      • High level of discretion and professionalism when working with confidential information

      • A hands-on attitude and willingness to go the extra mile in a dynamic environment

      • A confident and polished presence when interacting with senior stakeholders and external partners

      • Positive energy, adaptability, and a strong team-oriented mindset
